Position: Account + Admin

Overview:

The Account + Admin role at our swim school is a crucial position responsible for managing various administrative tasks, ensuring smooth operations, and providing excellent customer service. This role plays a vital role in maintaining accurate records, coordinating schedules, and assisting with the day-to-day functioning of the swim school.

Responsibilities:

Customer Account Management:

Create and maintain customer accounts in the swim school's database.

Manage customer information, including contact details, medical history, and preferences.

Process payments, issue receipts, and manage billing-related queries.

Provide exceptional customer service by addressing inquiries, concerns, and requests in a timely and professional manner.

Scheduling and Coordination:

Assist in scheduling swim lessons, classes, and other activities using the swim school's scheduling system.

Coordinate with instructors, students, and parents to ensure smooth scheduling and resolve conflicts.

Communicate schedule changes and updates to relevant parties.

Administrative Support:

Handle general administrative tasks such as answering phone calls, responding to emails, and managing correspondence.

Maintain accurate and up-to-date records, including attendance, enrollment, and progress reports.

Prepare reports and documents as required by the swim school management.

Assist in the preparation and execution of special events, such as swim meets or parent orientations.

Inventory Management:

Monitor and manage inventory of swim school supplies, equipment, and merchandise.

Coordinate with suppliers and vendors for timely replenishment of stock.

Maintain inventory records and conduct periodic audits to ensure accuracy.

Communication and Teamwork:

Collaborate with other swim school staff members to ensure efficient operations and a positive customer experience.

Communicate important information to instructors, staff, students, and parents regarding policies, schedule changes, and updates.

Contribute to team meetings, providing input and suggestions for improving operational processes and customer service.

Requirements:

Excellent organizational and time management skills.

Strong attention to detail and accuracy.

Proficient computer skills and experience with database management systems.

Excellent verbal and written communication skills.

Ability to multitask and prioritize responsibilities effectively.

Customer service-oriented mindset and the ability to handle challenging situations with professionalism.

Knowledge or experience in the swimming industry is a plus.

Previous administrative or customer service experience is preferred.

Job Type: Full-time

Salary: From Php12,500.00 per month
